Certified Sales & Rentals is growing, and we're on the lookout for a passionate, detail-driven Recertification Service Administrator. In this role, you will be responsible for a wide range of service administration duties, including job and project setup, parts ordering, invoicing, and maintaining accurate service records in Sage. The Recertification Service Administrator performs, facilitates, and supports key administrative functions that ensure the efficient operation of the Recertification Division. What You’ll Be Doing
- Coordinate service administration by scheduling customer and internal work orders
- Update and maintain Sage and Service Manager by assigning inventory codes, setting up new customers and vendors, generating reports and processing day-end, month-end and year-end in Service Manager
- Enter new orders into Order Entry and Service Manager, ensuring accuracy between job and order numbers and maintaining complete job folders
- Monitor weekly min/max inventory levels, compare against sales activity, and recommend adjustments to the Branch Manager
- Correspond with clients and customers in a professional manner
- Support administrative functions by preparing documents, spreadsheets, charts, and maintaining customer profiles
- Handle confidential and sensitive information responsibly, always upholding a high standard of confidentiality
- Act as a point of contact for internal employees when troubleshooting Sage/and or Service Manager
- Provide general clerical and organizational support, assisting with additional duties as required to keep operations running smoothly
What You Bring to the Table
- An administrative assistant or related certificate from a recognized business school would be an asset
- A minimum of two (2) years’ experience in an administrative role is preferred
- Proficiency of MS Office including Word, Excel, and Outlook
- Knowledge and previous experience using Sage 300 is preferred
- Knowledge of basic accounting
- Ability to identify missing costs using prior experience and knowledge
- Strong organizational and multi-tasking skills with attention to detail
- Able to handle competing priorities simultaneously; work well under pressure with time-sensitive deadlines
- Strong ability to communicate effectively in English, both verbally and in writing
- Possess a positive and professional attitude, set a high standard, and convey professionalism at all times
- Ability to work independently and in a team environment
- Ability to maintain confidentiality
